Visitors to an Ageas site

In connection with your visit to Ageas, Ageas Insurance Limited, certain personal information may be collected and processed about you.  Ageas Insurance Limited act as Data Controller in relation to the processing or your personal information and the following types of information may be captured and processed:

  • Name;
  • vehicle registration number;
  • Images of you captured on CCTV cameras present at our sites;
  • Information about physical access to buildings captured through use of your access control card (should you be issued one);
  • Use of the restaurant and vending machines made using this access control card.

We may also collect, hold and use more sensitive personal information about you, such as:

  • Details of health conditions and/or disabilities.  This is to ensure your health and safety whilst you are with us;
  • Accident records in the rare event that you should have an accident whilst you are on site.

Why we need this personal information and what we do with it?

We need to collect and handle (process) the types of personal information listed above in connection with our legitimate interests to maintain an audit trail of visitors to our sites and buildings, of cars parked on site and in monitoring the building for site security purposes.

Closed circuit TV (CCTV) is in operation 24/7 on Ageas sites and is used for the prevention and detection of crime and to ensure the safety of both our staff and visitors to all of our sites.  All CCTVs are overtly located and mainly situated at entry and exit points.  There is no secondary or additional use of images captured on CCTV.

Occasionally, we may handle your personal information in connection with our legal obligations under health and safety legislation.  In this instance we are required to record accidents or emergencies that occur on site, and where the processing is vital to our interests (or someone else’s interest).

Who do we share your personal information with and why?

We may share your personal information with a limited number of third party service providers who carry out site security and operate CCTV systems on our behalf this includes our managed catering services. All our third-party service providers are required to take appropriate security measures to protect your personal information.    

We may also share personal information with organisations that have a specific role laid out in law such as statutory bodies, regulatory authorities and other authorised bodies if we are under a duty to or are permitted to disclose your personal information by law. This may include a legitimate request from the police or another authority for information about your visit. 

How do we store your information and for how long?

We will keep your personal information for no longer than 6 months after the date of your visit. However, if any of the rare events mentioned above occur, it may be necessary to keep your information for longer.
